SharePoint websites are designed to supercharge collaboration. And, after many years of being on the market, we can positively say that it is doing just that. The benefits when you set up SharePoint website collaborations at your company are substantial. Perhaps no other platform does so much to enable sharing of information, task plans and team communication like SharePoint. Apps for SharePoint abound, most of them available with just a click once you’ve set your initial site up. But, in general, most people use some combination of these key SharePoint features:

  • LIbrary— which allows you to create repositories of files that can be shared with the group, or only certain people within the group. Setup SharePoint website libraries to keep organizational knowledge freely available across your company.
  • Calendar—Create group calendars that allow everyone on a team to see how project deadlines interact. You can use this feature to set group meetings and more.
  • Tasks—Create sprint boards, track jobs, and pin information that’s needed for every task right where its needed.
  • Announcements—Configure a front page that allows you to post company or team news.
  • Contacts— Group relevant contact information for your team, making calls, emails, and messaging simple.

When you set up SharePoint website portals, you take the kind of enterprise functions you might expect from your system as a whole and allow you to shrink them down to a team-sized bundle. Make your SharePoint website as private or public as you please within your corporate walls. Step-by-Step to Setup SharePoint Website

Now that you know the benefits of a SharePoint website, let’s talk specifically about how to set one up. It’s important to know that you can set up a SharePoint site as an end-user, or you can set one up as a Site Administrator. Some companies will only allow administrators to set up SharePoint sites. If this is the case at your company, contact your IT department for information about how to get granted access

1. Begin the Creation Process

Once you’ve got permission to work, simply sign on to your company’s SharePoint System. You’ll see a button on the left-hand corner that says “Create.” At this point, SharePoint will walk you through the steps you need to create the site, and will ask you a series of questions. Now is the time to think through what you want on the site. How many functions do you want? Who do you want to be on the site? What do you want the structure to be? Think about these things, before you start clicking, so you only end up with what you want.

2. Choose Your Site Type:

As you set up SharePoint website parameters, you will be asked “what type” of site you want: A “Team Site” or a “Communication Site.”

Team sites are generally used for getting work done, like sharing files, planning tasks and working as a team. A communication site is designed to work more like a company intranet that shares company news or social feeds, or maybe houses links that takes you to other locations on the company intranet, such as HR Timecard portals or vacation requests.

3. Choose Your Site Style

Once You’ve chosen your type, you will be offered different design styles underneath that type. For instance, a communications website could have a topical, showcase, or blank design, depending on your needs. Some types have more photos and features than others. Think of them as your templates that create design shortcuts for you.

4. Choose Your Site Components

At this point, SharePoint will ask you which components you want to include, like a library, task board, calendar or the like. If you’ve given this the consideration you needed to in step one, it will be an easy matter to click on what you need. SharePoint will automatically configure those features within the site type and style you’ve chosen.

5. Name Your Site, and Create a Description: Choose a name for your SharePoint site that will be easy to find in the system. Type it in, and the site will let you know if the name has already been used. Press enter and your name will automatically populate in the location name of your site. You’ll also be asked to describe the purpose of your SharePoint site, so it can be easily indexed on your network.

6. Set Privacy Options: Who should be able to access this site? This often depends on the type of site it is. A communication site is usually designed with the whole company in mind. But a team site is usually for a smaller group of people to collaborate. If you need it as a team site, then you will need to individually enter the names of all the people who will be granted access. Have that list handy, before you begin to set up SharePoint website collaborations.

7. Click Finish: This concludes the basic setup phase of your operation. But it is only the start of the process to set up SharePoint website systems for your team. Now is the time to enter files, post photos, and more. Don’t be afraid to go a little crazy! The more robust you can make the site, the more useful it will be.
